FleetMark helps you meet DVSA daily-check record-keeping requirements; legal compliance remains the operator's responsibility. Checklists follow the DVSA “Guide to maintaining roadworthiness” categories, every check is timestamped and locked on submission, and records are kept as an audit trail you can produce for an examiner. It's built to support FORS and Earned Recognition record-keeping.
No. Drivers scan the QR code in the cab or open a link — the check runs in any phone browser and works offline, syncing when they're back in signal. Nothing to download, no logins to reset. Every check is still signed by a named driver against the vehicle, timestamped and locked — you always know who did it and when.
Easily. Import your vehicle list and most fleets are running the same day. There's no contract holding you here — so there's no risk in trying us alongside your current tool first.
It's locked immediately — it can't be edited or backdated — and stored as a branded PDF against that vehicle and driver. Any defect raises an instant alert and is tracked through to repair.

Getting started
Usually under an hour for a depot. Sign up, upload a vehicle list (CSV or one at a time), send your drivers a link. We've had customers running their first compliant walkaround — the pre-use vehicle safety check every driver must complete — before lunch.
Paper records: usually not worth the effort — start fresh on day one. From another app: if it can export to CSV or PDF, we can bring historical records across as read-only references. Email us the format and we'll tell you what's possible.
No. The flow is "tap, photo, sign, submit" — most drivers figure it out on the first vehicle. If you want a walk-through for a larger rollout, we'll run one on a call.

Daily use
Any phone released in the last five years. Android, iPhone, on any mainstream browser. No install needed — the driver just taps a link.
Yes. Drivers can complete a full walkaround with no signal. Photos, signatures, GPS and timestamps are all captured locally. The record syncs the moment the phone sees signal again.
Tap the checklist item, pick "defect", add a photo, add a note if you want. The defect is flagged on the record and visible to the manager the moment it's submitted.
Yes. There's no app to install, nothing to sign into on a personal device — the driver taps a link, completes the record, and the session ends. Many fleets run entirely off personal devices for this reason.
DVSA, audits, exports
Compliance
The walkaround checklists, driver signature, defect flow, timestamps and retention all align with DVSA's (the UK's fleet regulator) expectations for a first-use check. Specific requirements differ by operator licence (O-licence — the permit UK fleets need to run commercial vehicles), so we don't claim you're audit-proof — we claim the record is ready to hand over when the auditor asks.
Every submitted record is preserved for the full retention window you need. The default is fifteen months (DVSA minimum for daily walkarounds). Longer retention is available on request.
Yes. Individual PDFs for any record. Bulk exports (CSV + zipped PDFs) from the dashboard for audits, insurance queries, or when you're leaving us — the data is yours, always.
No. Every submitted record is locked the moment the driver taps submit. Nothing can be edited, nothing can be backdated — that's the whole point of the audit trail.

Monthly rolling, charged in arrears. We count your active vehicles on the first of the month and multiply by £2. One line on the invoice. VAT separately.
Yes — one flat rate, £2 per vehicle per month, ex-VAT. Daily checks, defect reporting, key-date reminders, unlimited drivers and audit-ready PDFs are all included. No tiers, no add-ons.
One click in settings. The subscription ends at the next billing date and all your records stay accessible and exportable. No retention calls.
No. All prices on the site are ex-VAT. UK VAT is added to your invoice at the prevailing rate.
GDPR, hosting, data rights
Security
UK and EU regions on a UK-GDPR-aligned cloud provider. No data leaves the UK/EU in the ordinary course of operation.
Yes. We're a UK-based data controller for the accounts we hold, and a data processor for the driver-record content. A DPA is available on request.
Yes. Full export (CSV + PDFs + photos) at any time. Account deletion on request — we scrub within 30 days and send a confirmation.
Each submitted record is hashed (SHA-256) at the moment of submission. Any later change to the record would break the hash and be visible on the PDF footer. That's the locked audit trail in practice.
