1. Who we are

2. The two hats we wear
For fleet data — vehicles, checks, defects, driver rosters and driver files — your employer (or the fleet operator you drive for) is the data controller and FleetMark is their processor: we store and process that data only on their instructions, under our Data Processing Terms. Questions about that data go to your fleet first; drivers can see their own information any time via My Profile.
For everything else — manager accounts, billing, support, this website — FleetMark is the controller, as described below.
3. What we collect as controller & why
- Manager account details (name, email, hashed password) — to provide the service (contract).
- Billing and shop orders (handled by Stripe; we never see card numbers) — contract & legal obligation.
- Support correspondence — legitimate interests.
- First-party, privacy-respecting analytics — legitimate interests.
We do not sell personal data and we do not use advertising trackers.
4. Who we share with
Only the sub-processors that run the service (see our sub-processor list) and authorities where the law requires.
5. Where
UK/EU. No transfers outside the UK/EEA [region to be confirmed against the production configuration].
6. How long
- Checks, defects and their sealed PDFs: at least 15 months (the DVSA record-keeping window), configurable up to 24 by your fleet.
- Driver profile fields: anonymised within your fleet's configured window (default 6 months) after a driver leaves; names persist on sealed records.
- Manager accounts: life of the account plus the 14-day deletion grace.
- Billing records: 6 years (HMRC).
- Server logs and idle push subscriptions: 90 days.
7. Your rights
Access, rectification, erasure, restriction, portability and objection. Email [privacy@ email] — we respond within one month. Drivers: your fleet controls your check data; My Profile shows you everything held, and we help your fleet resolve any request.
8. Complaints
To us first via the complaints route; you can also complain to the ICO (ico.org.uk) at any time.
9. Cookies
FleetMark uses only the cookies the product needs to work: your manager session, and the device memory that saves drivers re-entering their PIN. No advertising cookies, no cross-site tracking, no third-party analytics cookies — which is why there's no cookie banner to click.
